Guest Terms:

Check-in and Check-out:

Check-in time is 4 PM (eastern standard time) and Check-out time is 10 AM (eastern standard time).  The Check-in time and Check-out times are set so that the house can be fully cleaned and available for the next vacationer.  These times may be flexible on an individual basis based on occupancy, cleaning, and maintenance per management's discretion.  If you are delayed past your check-in day, that day's fee is still due.

Reservations and Deposits:

Tentative reservations are taken by phone or e-mail.  A reservation is not confirmed unless we receive your deposit and signed reservation agreement within ten business days of making the tentative reservation.  If not, your reservation may be cancelled.  A reservation confirmation letter will be mailed or faxed to you within 24 hours of receiving deposit and signed reservation agreement indicating receipt of deposit and final payment due.

Confirmation deposit of $500 is required to secure reservation.  The confirmation deposit will be converted to the damage deposit upon receipt of the final rental payment.  If you are making a reservation within two weeks of your arrival date the entire payment, including damage deposit, is due immediately.  For weekly rentals, final reservation payment is due 14 days prior to arrival date.  For monthly rentals, final reservation payment is due 30 days prior to arrival date.  All reservations will be subject to the cancellation policy.

A damage deposit of $ 500 is required for all rentals (see above confirmation deposit).  This damage deposit will be refunded (minus the departure cleaning fee - see below) approximately one to two weeks (by mail) after departure providing that all rental conditions have been met and there is no damage to the property.  Assessable damages are not limited to the damage deposit.  The Vilano Beach House^TM is inspected before and after your visit.  Guests have full financial responsibility for damages due to misuse, negligence or missing items.  

A departure cleaning fee of $ 100 is required for all rentals.  This cleaning fee will be deducted from the damage deposit.  Any additional cleaning that is necessary above and beyond the reasonable and expected cleaning for the rental will be deducted from security / damage deposit. 

A replacement fee of $10 per key will be assessed for lost or unreturned keys.  If locksmith services are required or a replacement key is issued due to guests locking themselves out of the house, that fee will be assessed to the guest.

Cancellation Policy and Refunds:

If the cancellation is made 90 days prior to the arrival date we will refund your deposit minus a 10% processing fee.

If the cancellation is made within 89 days of your arrival date we will attempt to re-rent the property for the cancellation period.  If the house is re-rented, we will refund your deposit minus a 10% cancellation fee.  If the house is not re-rented, 50% of the deposit will be forfeited.  The applicable remaining deposit will be refunded upon receipt of the advance deposit of the new guest.

We will make all effort  to present the house in the same condition that we would wish to find it, as this is our second home.  In the event of breakdown or absence of any appliance, utility or item, we will attempt to make the repair or replacement as soon as possible.  We will not be obligated to provide replacements or give refunds for the failure or absence of any item, or public utility.  No refunds will be given for early departure or inclement weather.  In the event of a Hurricane Warning for which a Mandatory Evacuation Order has been issued, special consideration will be given.

Maximum Occupancy:

The maximum occupancy of the Vilano Beach House^TM is 6 to 8 people (this number includes children of all ages).  There are two queen-size beds and two twin-size beds which will sleep a total of 6 people.  There is also a queen-sized sleeper sofa, however, this may not be comfortable for an extended period of time for 2 adults and the sofa is located in the main living area and does not offer any privacy.  There will be no exceptions to the maximum occupancy policy.

House Rules:

Minimum age requirement to rent the house is 25 years of age.  The person making the reservation must also be the staying at the house during the full term of the reservation.  Any reservation made under false pretence will be subject to forfeiture of deposit and guests will not be permitted to register.

The rental agreement can not be sub-leased or assigned to another party.  Special exceptions may be made in some circumstances.

NO house parties, large groups, weddings, wedding receptions or motor homes are allowed.  If the police are called to the property in response to a complaint, guests will be asked to vacate the property immediately with no refund given.

There is no smoking allowed on the property, this includes both interior and exterior.  If you or anyone in your party smokes please choose to rent elsewhere.  This policy is strictly enforced and tenants are subject to eviction and forfeiture of rental deposit and payment due to non-compliance to this policy. NO pets or animals of any kind will be allowed at any time on the property.  This policy is strictly enforce and tenants are subject to eviction and forfeiture of rental deposit and payment due to non-compliance to this policy.  There are no exceptions to this policy.

No items or furniture will be removed from the house and furniture must be left as arranged.

Phones are provided.  However, any phone service that incurs a additional charge are blocked and guests will need to use a calling card.  Calls are not allowed to be charged to the phone line.

The Vilano Beach HouseTM is fully furnished and has dishes, silverware, glassware, pots and pans.  Bed linens, bath towels, beach towels, several beach chairs are also available.  A starter supply of bath tissue, bath soap, detergent, and dishwasher soap is provided.  You may need to bring additional bath tissue, coffee filters, beach towels and beach chairs.

For purposes connected with repair, care and management of the Vilano Beach HouseTM, it may be necessary for us to enter the property during reasonable hours.  We will make every attempt to notify the guest beforehand.
